Job Summary: The Business executive is a pivotal role designed to support the Business Development Department by ensuring seamless communication, coordination, and operational efficiency across various teams and departments. This role is critical in a rapidly evolving business environment, where adaptability, cross-functional collaboration, and effective project management are essential. The Business executive will support in the administration of leasing contracts, oversee maintenance schedules, coordinate vendor activities, and conduct site assessments for new restaurant locations.
Key Responsibilities: 1. Leasing Contracts Administration: • Assist in the administration of leasing contracts for new and existing restaurant locations. • Track and maintain an organized database of all leasing agreements, ensuring compliance with company policies and legal requirements. • Coordinate with relevant stakeholders i.e Building Management, internal departments, and vendors to ensure timely execution of contracts requirements.
2. Project and Maintenance Coordination: • Support the coordination of restaurant renovation, and maintenance projects. • Maintain an up-to-date maintenance schedule and ensure all records are accurately documented. • Liaise with contractors, vendors, and internal teams to ensure projects are completed on time and within budget. • Monitor and report on the progress of ongoing projects, addressing any issues that may arise.
3. Vendor Quotation Management: • Source and obtain quotations from vendors for various projects, maintenance works, and services. • Prepare and submit quotations for internal review and signing off by relevant authorities. • Ensure that all vendor works are performed to the required standards and in compliance with company guidelines. • Conduct follow-ups with vendors to ensure timely completion of works and resolve any discrepancies.
4. Maintenance Request Coordination: • Act as the primary point of contact for maintenance requests from respective outlets in charge. • Coordinate with the relevant parties (e.g., vendors, contractors, internal teams) to address maintenance issues promptly. • Ensure that all maintenance works are carried out efficiently and meet the company’s quality standards. • Maintain a log of all maintenance requests, actions taken, and completion status.
5. Site Visits and Preliminary Assessments: • Conduct site visits to assess the suitability of potential locations for new restaurant openings. • Document findings, including site conditions, accessibility, and market potential, and provide detailed reports to the Business Development team. • Maintain a comprehensive record of all sites visited, including photos, notes, and follow-up actions.
6. Administrative Support: • Provide general administrative support to the Business Development Department, including scheduling meetings, preparing reports, and maintaining filing systems. • Assist in the preparation of presentations, proposals, and other documentation as required. • Ensure all departmental records are up-to-date and easily accessible. |
